Renta’s Whistleblowing Reporting Channel

Renta’s reporting channel provides a way to report suspected irregularities and other unethical acts—such as corruption, bribery, harassment, or fraudulent behavior, as well as matters covered by the Whistleblowing Directive. The reporting channel is not intended for handling customer feedback or complaints.

The reporting channel is not connected to Renta’s IT systems; instead, it is maintained by the external service provider WhistleB (Whistleblowing Centre AB). The reporting process is heavily encrypted and secured to ensure the reporter’s anonymity and the security of the information.

All reports are taken seriously and handled confidentially. The reporting channel is available in six languages. You can submit a report below:

What is the whistleblowing reporting channel?

  • Renta’s reporting channel offers a way to report suspected irregularities and other unethical acts—such as corruption, bribery, harassment, or fraudulent behavior—as well as matters covered by the Whistleblower Directive (e.g., public records, traffic safety, consumer protection, and environmental protection).
  • It serves as an important supplement to existing primary reporting methods, such as contacting your manager, a member of the management team, the occupational health and safety organization, an employee representative, or HR.
  • It provides a protected, secure, and anonymous way to report irregularities.

Are there other internal reporting methods?

  • When reporting potential irregularities, you should still primarily contact your manager, a member of the management team, or another appropriate responsible party, such as an employee representative or the occupational health and safety organization.

Why is the whistleblowing reporting channel important?

  • All employees and partners, regardless of their position, have a responsibility to uphold a sound and ethical corporate culture by reporting potential violations and irregularities.
  • Early intervention is crucial for minimizing harm and preventing unethical or damaging activities.

What kind of situations should I report?

  • You can report suspected irregularities and other unethical acts—such as corruption, bribery, harassment, and fraudulent behavior—as well as matters covered by the Whistleblower Directive.

  • You do not need to have evidence to file a report, but the report must be made in good faith. Intentionally making a false or malicious report is prohibited and may lead to legal consequences, such as liability for damages or fines.
  • For matters covered by the Whistleblowing Act (such as public procurement, traffic safety, or consumer protection), the report should primarily be made via Renta’s reporting channel; secondarily via a reporting channel provided by a competent authority; or, as a last resort, through a public disclosure.
  • Other concerns regarding the employment relationship, such as salary or benefits, should be addressed with the relevant manager or director.
  • How do I know if someone has acted unethically or committed a violation or irregularity?

    • Identifying unethical actions and irregularities can be difficult. Answering the following questions can help you identify unethical actions, violations, and irregularities:
      • Is the observed action illegal?
      • Does the action violate Renta’s ethical principles and other guidelines?
      • Does the action conflict with the objectives of Renta’s business operations?
      • Does the activity meet the expectations of our customers and other stakeholders?

    How is the whistleblower protected?

    • The whistleblower may submit the report anonymously. If the whistleblower does not disclose their identity when making a report, they remain anonymous throughout the entire investigation. The reporting process is encrypted and secure. The reporting channel does not store metadata linked to the report and cannot track the whistleblower’s IP address.
    • Reports submitted via the reporting channel are received and handled confidentially and impartially by designated experts (authorized personnel) at our partner, Deloitte Oy. Only authorized personnel have access to the reporting channel.
    • Renta is committed to protecting all individuals who report violations via the reporting channel. However, reports must be made in good faith.
    • Renta will not take retaliatory measures against the whistleblower or any other person. Nor will Renta prevent or attempt to prevent the whistleblower from providing information regarding the violation. If you feel you have been subjected to retaliation, Renta asks that you report this immediately via the reporting channel. Retaliation includes, among other things, a worsening of employment conditions, temporary layoff, and other unfavorable treatment.

    How does the whistleblowing reporting channel work?

    • The whistleblowing reporting channel is browser-based and works on all devices. You can submit a report in Finnish, Swedish, Norwegian, Danish, Polish, or English. Reports can be submitted via the Renta Group’s reporting channel or via the reporting channel of its subsidiary, Renta AB. A link to the subsidiary’s reporting channel is also available on the landing page of the Group’s reporting channel.
    • Once you have submitted your report, you will receive a unique case code and a password. Please keep them safe. If you lose your code or password, you will no longer be able to access the system. In that case, you would need to submit a new report to provide further information regarding the matter. If you wish, we can arrange a private meeting with you, after which we will prepare a complete and accurate record of the meeting. The person making the report has the right to review, correct, and approve the record by signing it.
    • Experts at Deloitte Oy are notified whenever a new message is sent to the reporting channel. Access is secured and requires two-factor authentication.
    • Reports can also be made verbally by calling +358 50 461 6517. Recorded calls are handled by experts at Deloitte Oy. Please note that verbal reports cannot be made anonymously; you must provide your contact details when making a verbal report. By calling the number, you consent to the call being recorded and to the verbal message being transcribed into a written report.

    The written report will be emailed to you, after which you can review, correct, and approve it by signing it.

  • Deloitte assesses the situation and the level of severity, requesting further information as needed. Deloitte informs Renta’s Country Manager, CFO, and CEO of received reports, and they jointly decide on any further actions when you report via the Renta Group’s reporting channel. If you wish to submit the report solely via Renta AB’s reporting channel, Renta’s Country Manager will be informed of the report received. Once the matter has been investigated and any related processes concluded, the case will be closed and archived in accordance with data protection regulations.
  • What happens to my report?

    • Deloitte processes the report, and Renta’s Country Manager, CFO, and CEO decide on further actions. Access to the report is restricted to a select group and will never be granted to any person or persons mentioned in the report or potentially linked to it.

    What happens if my report concerns a person who processes reports submitted via the reporting channel?

    • If the report concerns a person who processes reports submitted via the reporting channel, Deloitte’s experts will immediately ensure that this person does not participate in processing the report.
    • If the report concerns Renta’s Country Manager, CFO, or CEO, the person in question will be excluded from the investigation without delay. If the report concerns Renta AB’s Country Manager, the person in question will be excluded from the investigation without delay, and Renta AB’s CFO will be informed of the report received.

    How do I know that my report has been received?

    • You will receive a confirmation message shortly after submitting the report.

    Will I be informed about how the matter is handled or the measures taken?

    • You will be informed of the measures taken and the grounds for them no later than three months after receiving the confirmation message, unless otherwise specified in applicable legislation.

    How can you guarantee my anonymity?

    • The whistleblowing reporting channel is completely separate from Renta’s IT environment.
    • WhistleB, an independent service provider, is responsible for the technical implementation of the reporting channel. The reporting process is encrypted and protected by a strong password. WhistleB does not store metadata linked to the report and cannot trace the reporter’s IP address. Neither Renta, Deloitte, nor WhistleB can identify the source of the report. The reporter remains anonymous throughout the investigation.
    • The channel provided by WhistleB meets the requirements of the ISO 27001 quality standard and GDPR requirements.
